Set up a schedule to automatically clean up users after 14 days of inactivity

Add schedule

To set up an automatic schedule, go to Scheduling and cleanup → Add schedule.

Specify Scheduling display name

Enter a descriptive name of the schedule. This will help you distinguish between schedules.

Specify Selection criterias

Configure the requirement of user activity in the cleanup, as in the amount of days since the last time they logged in. Enter 14 in nactive days threshold to cleanup users who have not logged in in the last 14 days.

Select groups if you want to

cleanup inactive users who are part of specific groups.

While cleaning up users, you also want to make sure that certain users are not cleaned, even if they haven't logged in for a while. Admin accounts should not be cleaned for example, because then you might lose system access. Exceptions can be configured based on group memberships or user directories.

Specify cleanup actions

Decide whether you want to deactivate users or remove access to licensing group. Typically the group jira-software-users grants access to jira software licenses.

If you choose Remove access to groups then users will be removed from the given group. The user cleanup only affects group membership related to the chosen group, and will not remove any other group memberships. This means if the group to be removed from is not the licensing group the user will still be active.

Configure Time

Specify when the scheduling should run.

Save the Cleanup schedule when you are happy with the configuration. The job will start at the time shown in the Next cleanup field.

You can initiate user cleanup immediately by clicking the "Run Now" button.

Test the schedule

To verify that your schedule produces the expected results, you can preview the outcome of the cleanup by clicking the "Dry Run" button..

Check when next scheduled cleanup will run

To view information about future scheduled cleanups, go to Scheduling and cleanup

A list of scheduled cleanups with the following information about scheduled cleanups is shown:

  • Id

  • Status: Active/Inactive

  • Display name

  • Cleanup Action: DEACTIVATE, REMOVE_FROM_GROUP, LIST

  • Clean from groups: group names

  • Remove from groups: group names

  • Next cleanup: Date and time for next run

Run a manual schedule between schedules

To force a scheduled cleanup to run between schedules, run a manual cleanup

Open Scheduling and cleanup

Select Scheduling and cleanup in the left menu. Open one of the existing scheduled cleanups or add a new schedule.

Run now

Adjust the schedule if necessary. Once you've made your changes, scroll to the bottom of the screen and click Save.

You can preview the outcome of the cleanup by clicking the Dry Run button.

Then, select Run Now to start the cleanup process.

Test a cleanup schedule

To test a cleanup schedule before the job starts (next cleanup), perform a dry run. This is useful if you're setting up a new schedule and want to assess the potential impact on users affected by the cleanup.

Here are the steps to execute a dry run:

  1. Navigate to Scheduling and Cleanup.

  2. Open the schedule you wish to test

  3. Scroll down to the bottom of the screen and click on the Dry Run Now button to initiate the dry run.

The cleanup process will commence, allowing you to see its potential effects without making permanent changes.

Perform a Dry run to get a preview of the cleanup before the scheduled cleanup. This might be useful if you are creating a new schedule and want to control users affected by the cleanup.

Select Scheduling and cleanup, open the schedule you want to test, then click the schedule you want to run. Edit schedule opens. Make adjustments if needed and save changes.Scroll to the bottom of the screen, then click the button Run now. The cleanup will start.
