Self-assign product access

In the Automated User Cleanup and Deactivation for Jira app you can configure your users to be able to give themselves product access via Jira Service Management (JSM)

A user can access the self-assigned product access feature by visiting one of your Help Center portals, select their profile icon, and press the Self-assign product access button

How it works

You can use the free version of JSM with up to 3 agents to use this feature with no additional costs. The “JSM Customer”-role does not require a license and will therefore not affect billing

In the Settings page you can enable the feature by hitting the Enable Self-Assigned Product Access toggle. You will then be able to configure which products your users are able to give themselves product access. A user must be in at least one of the activated required groups to be able to give themselfs product access. The required groups must have the JSM customer role.

First time setup

Create a portal

If you want a custom portal that your users can go to for information you can create a new Jira Service Management project and configure it like this:

1. Open the Channels & self service
2. Click Portal
3. Set Channel access to Open
4. & 5. Give a suiting Portal name and an Introduction text

Create groups with JSM customer role

We recommend creating one Required Group for each of your different products that you want your users to be able to self-assign. Give it the Jira service management - Customer role and put all the users you want to be able to self-assign that product into that group. This enables more granular permissions.
It is also possible to reuse the same Required group, so you only have to put your users into one group for them to be able to gain access to multiple products

 

Configure the feature in the app

Be careful what License groups you configure. There is a possibility for your users to privilege escalate if the license groups you configure have wider permissions than what they should have.

We check that the configured groups have the correct roles.

  1. All required groups should have the Jira Service Management customer role

    • This is a requirement such that the user are able to login and access the Self-assignment Help center portal. This role will not count towards your billing.

  2. All licensing groups should have the corresponding User role for the product. For example, Jira Software requires the Jira Software User role.

  3. To avoid privilege escalation, site-admin groups cannot be selected as the License group.
