Set up a schedule to automatically clean up users after 14 days of inactivity - Cloud
Step 1: Add Schedule
To set up an automatic schedule, go to Scheduling and cleanup → +Add schedule
Enter a display name for the schedule. This will help you distinguish between schedules.
Step 2: Specify Selection Criterias
Select licensing groups only if you want the selection to always include users from the corresponding licensing groups. Licensing groups are defined in Atlassian’s Organisational administration page.

For automated cleanup scheduling to work optimally it is important to use pure licensing groups to avoid defining groups that assign its users to more than one product.
Set groups in Part of the following groups (in addition to licensing groups) if you want to cleanup inactive users who are part of specific groups, for example “summer-students”.
While cleaning up users, you also want to make sure that certain users are not cleaned, even if they haven't logged in for a while. You might not want to clean Admin accounts for example, because then you might lose system access. Exceptions can be configured in your settings. You can also override settings for a scheduled cleanup.
Configure the requirement of user activity in the cleanup, as the number of days since last time they logged in (see below). For example enter 14 in the Days inactive threshold to cleanup users who have had no activity in the last 14 days.
Add or select Matching User Domains if you want to include users in specific domains in the cleanup.
Step 3: Specify cleanup actions
Decide what to do with the selected users:
Deactivate users (managed users only)
Remove product access → Remove users from all of their licensing groups
Choose action Add to list for review if you want to control cleanup action for each user one by one. The app will create a list of all the users matching the criteria, but will not perform any action on them.

Step 4: Configure Time
Specify when the schedule should run.
Save the schedule when you are happy with the configuration. The window will be closed when saving a new schedule.
Next cleanup will be updated on save and will be displayed in the overview page as well as next time you open/edit the schedule.
